MIDA International UK Limited is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.

When you become a member of MIDA you will complete a membership application form and will be asked to provide information that will tell us;

We hold this information with your consent, based on our contract with you, or due to a legitimate interest that we have carefully assessed.

We use this information to:

  • Meet our contractual obligations
  • Communicate with you (by email and occasionally by direct mail)
  • Include you in our member website, online directory and in any printed catalogues or other literature that we organise
  • Maintain and improve the service we provide
  • Transfer payments to you/invoice you
  • Monitor your credit score

Due to the nature of our business and the membership service we offer, we will need to share your details on our website and with our suppliers (who are our data processors) and in any printed catalogues or other literature that we organise. This is how we can ensure you receive the benefits that MIDA membership brings.

Only our affiliated preferred suppliers and fellow members receive our digital membership directory. However, your company details are available to view on our website by anyone who visits our site. It is important that these details are accessible as it enables networking and promotes MIDA's services which in turn increases the benefits we can offer to all group associates.

We store this information on our secure company server and hold it for the duration of your membership and until your final rebate payment is processed under the terms of our agreement. After this time, we safely destroy your details.

As Data Controller we also take all possible steps to ensure that your data is processed honestly and lawfully by our suppliers. We issue a 'Data Processing Agreement' to all of our suppliers which tells them how they should be using your data and their responsibility to you as a data subject. While we make every effort to ensure that our suppliers are GDPR compliant we cannot take full responsibility for each one.

If you ever have concerns about how one of our suppliers is handling your data, please email enquiries@mida.co.uk and we will look into it for you.

When you become an affiliated preferred supplier of MIDA, you will provide us with your;

We hold this information with your consent, based on our contract with you, or due to a legitimate interest that we have carefully assessed.

  • Negotiate commercial terms for our members
  • Communicate with you (by email, including research & forum feed system updates, and occasionally by direct mail)
  • Include you on the supplier section on our website and in any printed catalogues or other literature that we organise
  • Maintain and improve the service we provide
  • Transfer payments/invoice you
  • Conduct an initial credit check

We share your details on our website and our online supplier directory and in any printed catalogues or other literature that we organise. Only our affiliated preferred suppliers and fellow members receive our digital membership directory. However, your company details are available to view on our website by anyone who visits our site. This is important as it enables networking and promotes MIDA's services.

As an affiliated preferred supplier for MIDA we do share our member data with you and this makes us the 'data controller' and you the 'data processor'. We both have responsibilities to ensure that we are GDPR compliant and handling this data carefully and lawfully.

When you become an affiliated preferred supplier for MIDA you will receive our 'Data Processing Agreement' which you must follow and adhere to. In serious instances, failure to do so may result in us not being able to promote you as a MIDA supplier and/or sanctions from the ICO.

For general office related suppliers whom we use, who fall outside of the scope of our core electrical distribution suppliers, but who we need to work with to enable the running of our company, such as; accountants, legal, IT support, maintenance services, utilities & telecoms, corporate hospitality services, etc, we only hold and store business address and contact details, including invoices and bank details, for communication and accounting purposes.

Our Website

When you first visit our website, we will ask for your permission to use tracking software to monitor your activity on our site. This helps us to better understand how our site is being accessed. This software is provided by Google Analytics which uses cookies to track visitor usage.

Cookies are small, harmless files saved to the user's computer's hard drive that track, collect and store information about the user's interactions and usage of the website.

If you grant permission, the software will save a cookie to your computer's hard drive to track and monitor your engagement and navigation of the website each time you visit.

Google Analytics uses your IP user address and tells us about the pages you have accessed and how long you stayed on these pages.

If you do not grant permission, we do not receive this information.

If you wish to block the use of cookies on your hard drive, you can select 'cookie settings' under the privacy settings in your browser options and add our domain name (www.mida.co.uk) to the list of websites you deny access.

Google Analytics does not store, save or collect personal information. It provides the activity to us in an anonymised format (general summary rather than individualised) and this information is stored on the Google platform.

Enquiries

If you contact us via the website enquiry form, by telephone or in person, we will ask for your name, company name, telephone numbers, email and if you were interested in becoming a member or a supplier. As a potential member, we will also require other financial information to ascertain credit worthiness and company stability.

We use this information to respond to your enquiry only. You will not be added to our database unless you join as a member or become an affiliated preferred supplier.

The information is stored in our email system or our notebooks and is given to us with your consent. If you enquired by email, your information will remain on our system but will not be processed. If you enquired by telephone or in person, we would destroy your data once it is no longer needed.

Networking

As a MIDA member, we organise a variety of networking events to encourage member and supplier connection, develop business relations, and nurture desirable deals for our members.

Some of these events take place overseas. MIDA takes care of all of these arrangements and as such may ask for your passport details so that we can organise flights and manage other various requirements. It is in our legitimate interest that we hold those details so that we can organise and facilitate positive trade agreements for you.

We will need to share these details with any travel agencies and organisers who we partner to manage such events. However, we always password protect these files and delete them once the event is completed.

Your data will be stored on our secure company server while we need it and we will make every effort to ensure that the travel organisers we share your data with, handle it with respect and follow the guidance we offer, and delete it once we are all back home.

Personalising Our Service

MIDA is a family business, and we pride ourselves on our personal service and relationship with both our members and suppliers.

There may be times that you give us your home address as it is considered more convenient for you.

At other times we may have asked a colleague for your date of birth as we like to recognise our suppliers and members for these special occasions, and from time to time, provide gifts.

If we are aware of other significant life events, like anniversaries, children's birthdays or hospital appointments we may make notes on our calendar to remind us to keep in touch.

If we hold this type of data, we do so under legitimate interest, so that we are able to offer you a more bespoke, personable service with that little extra touch; so that you don't just feel like a 'number'.

This data is held on our computer hard drive and would be deleted if your membership/affiliation with MIDA ended.

Payments

MIDA collects bank details from our members and suppliers to process membership fees and discounts/rebates, as well as other sponsorships and specific marketing projects required to better promote our business together.

We keep your bank details until the final rebate payment has been processed. We hold them with your consent and to fulfil our contractual obligation to you.

Information Security

We use Cyber Essentials (as defined by the NCSC) best practices to prevent the unauthorised use, access, or disclosure of your personal information. For example, all information you provide to us is stored on our secure servers. Any website data stored and transmitted via www.mida.co.uk will be encrypted using SSL/TLS technology, and has been developed/tested using commercial best practices (OWASP).

Whilst we do take all applicable technical and organisational measures to safeguard your data, it is impossible for us to secure the entire internet. It is, therefore, your responsibility to acknowledge this and to understand that the personal details you give to us by your own choice across the internet are transferred at your own risk.

Social Media

Communication, engagement and actions taken through external social media platforms that this website and its owners participate to the terms and conditions as well as the privacy policies held with each social media platform respectively.

Users are advised to use social media platforms wisely and communicate/engage with them with due care and caution regarding their privacy and personal details. This website nor its owners will ever ask for personal or sensitive information through social media platforms and encourage users wishing to discuss confidential details to contact them through primary communication channels such as by telephone or email.

This website may use social sharing buttons which help share web content directly from web pages to the social media platform in question. Users are advised before using such social sharing buttons that they do so at their discretion and note that the social media platform may track and save your request to share a web page respectively through your social media platform account.

Our Services contain links to other sites, such as social networking platforms or other supplier and member websites. Please be aware that we do not endorse and are not responsible for the privacy practices of such other sites. The Privacy Policy presented here does not apply to such sites. If you have any questions about these other companies' data practices, you should review their privacy policies.

Your Choices

You do have the right to be forgotten and opt out of receiving marketing emails.

If you did want to stop receiving marketing emails from MIDA, we could do this for you, but we do need to tell that you would miss out on the benefits of your membership with us, as this is our primary form of communication. We will include a simple opt-out method on our email communications which you can follow.

If you wish to stop receiving marketing information from a MIDA approved supplier, you will be able to so in just the same way. MIDA approved suppliers will always include a simple opt-out method on all of their communication with you (digital and print). This should be done direct with the specific supplier, however, if for any reason you are having difficulty, please contact us at enquiries@mida.co.uk so that we can help you resolve the issue.

Please note that if you decide to opt out from a MIDA or supplier database, it may take a few days to process your opt-out request and that you may continue to receive promotional or marketing materials during this time.

Also, please note that opting out of receiving will not preclude us from sending you other types of nonpromotional messages, such as membership information or invoices/receipts from suppliers.
